# Materials

Materials are supplies that you create products with.

## Upload a CSV

1. From your dashboard, make sure you select **Materials** on the sidebar to access your Materials page.
2. In the upper-right hand corner, select the **\[...]**
3. Select **Import CSV**.
4. Add your CSV file.
5. Once added, a matching screen will appear.
6. Match the columns on Inventora to the appropriate columns in the CSV.
7. Select **Upload** in the bottom right-hand corner.
8. A success screen will appear and the Materials will be added into Inventora.

## Add an individual material

1. From your dashboard, make sure you select **Materials** on the sidebar to access your Materials page.
2. In the upper-right hand corner, select **Add Material**.
3. Enter your material details.
4. Click **Save**.

## Add a Material Photo

1. On your Materials page, select the Material you want to add a photo for.
2. On the material details screen click on **Edit Details.**
3. Scroll down where you see **Photo.**
4. Click on **Choose Photo** and upload the material photo.
5. Click **Save.**

### Material Details Breakdown

* **Name** – what is the material title.
* **Current Stock Level** – how many do you have in stock at this moment.
* **Stock Unit Type** – what is the measurement used for tracking.
* **Minimum Stock Level** – how much of this material do you always want to have on hand.
* **Material Type**
  * **Sourced from Supplier** – this material is bought from another business.
  * **Made by Me (single)** – this material is made using other materials, one at a time.
  * **Made by Me (in batches)** – this material is made using other materials, multiple at a time.
* **Cost per Unit** – what does one single piece of this material cost.
* **Supplier** – what is the company name you purchase this material from.
* **Category** – what would you classify this material as, to group with other similar materials.
* **Last Order Date** – when did you last purchase this material.
* **SKU** – what is the tracking number you have assigned to this material.
* **Notes** – any additional information you want to remember for this material.

## Duplicate a material

To help save time when you add a new material, you can **duplicate** a similar material.

When you duplicate a material, all of the material details will be copied.

How to duplicate a material:

1. Select the **Material** you would like to duplicate.
2. In the new screen, select **Duplicate**.
3. Edit the new material details that need to change.
4. Click **Save**.

## Edit a material

After you've created materials, you can edit their details.

How to edit a material:

1. Select the **Material** you'd like to edit.
2. In the new screen, select **Edit Details**.
3. Edit desired details and click **Save**.

Trying to edit the **Material Cost**? This cost is calculated based on your Supply Orders, combining all costs between shipping, taxes, and discounts. As you use Materials, using the oldest first (FIFO), the cost may change over time.

## Update a material's current stock level

A material's current stock level will update automatically when you update a linked Product that uses the material, or when you receive a new Supply Order.

If you want to manually update a material's current stock level, you can do so in two ways:

1. On the Material dashboard, under the **Stock Level column**, select the stock level you'd like to update.
2. Open the Material details and select **Update** next to Current Stock Level.

**Add or decrease stock, select the reason for adjustment, and hit Enter.**

## Delete a material

When you delete a Material, the material is also removed from any linked Products.

1. Select the **Material** you'd like to delete.
2. In the new screen, select **\[...]** next to Duplicate.
3. Select **Delete Material**.

# Deduct Materials for Testing

In addition to adding the materials used to make your products, you can also deduct materials used for testing with the following options.

## Update Stock Level

This option will allow you to enter the quantity you used of a material and have it deducted. This is how you can update a material individually.

1. On your left sidebar, select **materials** to access your list of materials.
2. Click on the **Stock Level** of the material you want to update.
3. Select **Product Testing** as your Update Stock Level type.

4. Add the quantity of the material you used for testing.
5. Click **Update**.

## Create a Production Run&#x20;

With this option, the produced products will not go into your inventory, and will essentially just be discarded (as if you sent them directly to a wholesale customer).

1. From your dashboard, make sure you select **Production**.
2. In the upper-right-hand corner, select **New Production Run**.
3. Select **Fulfilling an Order** as your Production Run Type

4. Enter your **Production Details**.
5. Click **Save**.

# Products

Products are items that are created from materials. These products also sync with your connected shop.

## The product and material relationship

Great! You've added your first materials and now you want to create a product using those materials. It's important that you understand this relationship before adding your first product.

Products are directly connected to the materials it is made of. When you update a product's stock level, the linked materials stock levels are also updated.

**Example**: You create a product named 'Apple Candle'. This product uses the following materials to make 1 Apple Candle:

* 8 oz Soy Wax
* 1 oz Apple Fragrance Oil
* 1 Cotton Wick

When you update the Apple Candle current stock level to 1, the stock levels of the materials used will lower.

If you add 20 Apple Candle's to your product inventory, the following amounts will be removed from materials:

* 160 oz Soy Wax
* 20 oz Apple Fragrance Oil
* 20 Cotton Wick

## Create a product

*If you plan on* [***syncing your shop***](/shop-integration/introduction) *to Inventora, we recommend that you sync your shop first before creating any products manually. This will avoid duplicates from appearing, as Inventora will create Products from what is currently created in your shop.*

1. From your dashboard, make sure you select **Products** on the sidebar to access your Products page.
2. In the upper-right hand corner, select **Add Product**.
3. Enter your product **Name**, along with additional details.
4. When adding the **Materials** used to create the **Product**, be precise when entering the material amounts.
5. Click **Save**.

**Reminder**: When you create a Product for the first time, you will be prompted whether or not you want the associated Materials to deduct at that moment.

## Add a product photo

* On your Products page, select the Product you want to add a photo for.
* On the Product Details screen click on **Edit Details.**
* Scroll down where you see **Photo.**
* Click on **Choose Photo** and upload the product photo.
* Click **Save.**

All product photos are synced automatically from all e-commerce platforms **except** Square.

## Update a product's current stock level

When adding to a Product's current stock level, materials that are linked to create the product will automatically be adjusted.

You can update a Product's current stock level in two ways:

1. On the Product dashboard, under the **Stock Level column**, select the stock level you'd like to update.
2. Open the Product details and select **Update** next to Current Stock Level.

**Add stock and select the checkmark or hit enter to apply changes.**

**Reminder**: When you **Add** inventory of a product, the linked materials will lower in stock levels. When you **Remove** inventory of a product, material stock levels will **not** be affected.

This is because of the assumption that any Product created will use Materials. When products are removed, they have been sold or taken from inventory for other reasons.

## Undo a product's current stock level change

When you update a product, Inventora will alert you of the new supply levels for any Materials and Products adjusted.

If you made a mistake and would like to return your supply levels to what they were previously, there is an **Undo** button to clear any mistakes.

**Be Aware**: This pop-up will appear for only 5 seconds and then disappear unless you hover your mouse over it. Hovering your mouse over the pop-up will pause the timer, giving you time to read the changes that happened.

If you are using Inventora on mobile the window will close after 5 seconds as hovering is not possible.

## Delete a Product

When you delete a **Product**, the product is only removed from Inventora, deletion does not affect Product listings on any shop integrations.

1. Select the **Product** you'd like to delete.
2. In the new screen, select **\[...]** next to Duplicate.
3. Select **Delete Product**.

# Product Types

Create products made in batches, made one at a time and product variants.

## Products Made in Batches

1. On the left sidebar click on **Products.**
2. On the right top corner of the page, click on **Add Product.**
3. For product type select **Made by Me.**
4. Scroll down where you see "Production" and add the **Batch Size.**

Calculate the materials you use for an entire batch, and we'll do the math for you to know how much goes into a single item.

5. Add the materials used to make the product batch, category, SKU, price, and photo (Optional).
6. Click **Save.**

## Products Made One at a Time

1. On the left sidebar click on **Products.**
2. On the right top corner of the page, click on **Add Product.**
3. For product type select **Made by Me.**
4. Scroll down where you see "Production" and add 1 piece as your **Batch Size.**
5. Add the materials used to make the single product, category, SKU, price, and photo (Optional).
6. Click **Save.**

## Product Variants

These are the steps to add a product that comes in different sizes, colors, etc.

1. On the Products Page, click on the products to combine.
2. On the top of the page, click on the three points and select **Combine as Variants**

3. On the right details card, add the **Product Name** and **Variant's Name.**
4. Click **Combine.**

# Reusable Formulas

Reusable production formulas are useful for situations where you have several products that share common ingredients, but have one or more ingredients that differ, from product to product. They remove the repetitiveness of entering the same formula multiple times, once per product, and ensure that you ingredients are consistent between similar products.

### Fixed vs. Placeholder Materials

* **Fixed:** These are materials that are shared by all products using the formula
* **Placeholder:** These materials will differ by product. You'll be prompted to select which material to use for each of these

### A Simple Example

Let's say you sell 12 oz candles in 3 different scents, Juniper, Citrus, and Sage, and 2 jar colors, Clear and Amber. That means you'd have 6 total variants. And in each of these variants, you'd use the same quantity of wax, same wick, sticker, and same quantity of fragrance oil.

#### How to Setup Your Formula

1. Click **"+ Add Product"** (or edit an existing product)
2. Scroll down to the **"Production"** section
3. Click on the **"Formula"** dropdown under Production - this will show a list of formulas, which is probably empty
4. Click **"+ Add Formula"**
5. Name your formula - i.e. "12oz Candle"
6. Set your batch size, or leave it as 1 piece - this works the same was as the Batch Size in normal production, so your material quantities will be divided by this batch size. If you enter a batch size of 12, then you'll enter the materials needed to make 12 candles
7. Add your Fixed Materials
   1. **Coconut Wax** - 10oz
   2. **ECO4 Wick** - 1 piece
   3. **Wick Sticker** - 1 piece
   4. **12oz Jar Lid** - 1 piece
   5. **12oz Candle box** - 1 piece
8. Add your Placeholder Materials
   1. **Fragrance Oil** - 1oz
   2. **Jar** - 1 piece
9. Save your Formula
10. Click **"Select"** to use your new formula in your product
11. Now, select your **Fragrance Oil** & **Jar**


# Set up a Product Bundle

## What is a Product Bundle

Product Bundles are a unique product type that allows you to sell products in sets, and automatically set the bundle stock level based on the availability of each included product.

## Creating a Product Bundle

1. Create a new Product, or go to an existing product and click "Edit Details"
2. Name bundle product
3. Under **Product Type**, select "Product Bundle"

4. Now, a new section will appear below called "Included Products". Add all of the products that make up your bundle here, and their quantities
5. Click **Save**. You'll notice that the stock level that shows up will be based on the availability of the included products

**Optional:** If you have a shop integration, connect the bundle to a product in your shop, and you'll see the calculated stock level will be synced with your shop, and updated anytime one of the included products sells or is restocked

# Product Syncing

How to sync one product to your eCommerce shop.

In order to sync one product to your shop, you need to add your shop integration to Inventora first. [Learn more about this process here](https://help.inventora.com/shop-integration/introduction).

## Sync One Product to your Shop

1. On your **Products** Page, click on the product you want to sync.
2. Click on **Edit Details.**
3. Scroll down to the bottom where you see **Integrations.**&#x20;
4. You'll see the integrations that you currently have, click on **Search Products.**
5. In the dropdown, you'll have the list of products of your shop, select the one you want to sync the Inventora product with or **Create New Draft Product.**
6. Click **Save.**

If selecting **Create New Draft Product**, on the top of your product details click on the integration and add the details of the new product directly in your shop.

# Production

What is essentially a Trello board inside Inventora, Production helps you plan and manufacture what products need to be made.

## Creating your first production run

1. From your dashboard, make sure you select **Production** on the sidebar to access your Production area.
2. In the upper-right hand corner, select **New Production Run**.
3. Enter your **Production Details**.
4. Click **Save**.

* **Name** – choose a title that represents what the Production comprises of. Some examples may be Holiday Collection, West Elm Wholesale, Citrus Honey Restock.
* **Production Run Type** – choose whether you want to stock these items in your shop once they are made, or leave them unaffected to your Product inventory levels. Regardless of which option you choose, the associated Materials will always be deducted.

Why would you want them to not sync with your shop's Product stock levels? You can choose this option if you are fulfilling a wholesale order and these have already been purchased by a customer. You may also use this feature if you are creating inventory to reserve for a special event.

* **Items to Make** – add which products and how many of each you want to create in this production run.
* **Due Date** – select which date this Production needs to be completed by.
* **Notes** – add any additional notes for this Production.

You can print the materials used for a production run by going to the **Production Card Details**, clicking on **View Materials**, and using *Command+P* on Mac or *Control+P* on Windows.

## Understanding production card details

Each **Production card** expands to show the full details, simply click on which Production run you'd like to view.

Inside of each Production card, you will find all of the details that you have planned, as well as the associated Materials to create each Product.

You may also receive **warnings** if there are not enough Materials in stock to create the products.

## In progress Production run

The Production flow allows you to plan what needs to be made, view progress of runs that have began, as well as view what has recently completed.

Once you begin a Production, you are able to create the planned Products at separate times. When **Batches** are completed, the related Materials are deducted appropriately. You can always exit and pause the Production and jump back into it by clicking the card listed in the **In Progress** column.

A **blue-colored progress bar** on each Production card allows you to see at a glance how much progress has been completed so far.

## Completing a Production run

There are two ways you can complete a Production run:

1. Simply drag the Production card to the **Completed** column.
2. Inside the Production card details, select the **Complete Run** button at the top.

# Sales

Track your sales by channel preventing overselling and ensuring inventory accuracy.

## Add a Sale Manually

1. From your dashboard, make sure you select **Sales** on the sidebar to access your Sales page.
2. In the upper right corner click on **Add** **Sale.**
3. Enter your **Sales Type**, along with the date and time.

4. Select your **Customer** or create a new customer.
5. Click **Next**.
6. Add the **Products** and quantity you sold and additional sales details.

7. Click **Next**.
8. Choose how you want to prepare this sale and click **Create.**

Inventora also syncs any sales that come through from your shops.

## Create an Invoice

1. From your dashboard, make sure you select **Sales** on the sidebar to access your Sales page.
2. Click on the **Sale** you want to create an invoice for.
3. On the sales card details, select the **\[...]**
4. Click on **Create Invoice**.
5. Add the invoice date, due date and footer note.

6. Click **Create.**
7. Click on **Open Invoice** to view your invoice or click **Done**.

## Add Custom Notes to Invoices

1. On the left sidebar, click on your **Business Name**.
2. Visit **Settings** and scroll down to the **Invoices** section at the bottom.
3. Edit the information that is shown to the customer on an invoice that is generated with Inventora.

4. Generate an Invoice in order to see how the information you added looks.
5. Click **Save**.

# Importing Sales from CSV

## How to Format Your CSV

### Line Items

* Each line in your CSV will be one line item
* **This means orders can span multiple lines**, with each line representing one line item in the order
* If an order has multiple line items, you will want to repeat the information other than the product name / SKU, quantity, and unit price
* We will use the first line with a particular Order Number to fill all the non-line-item related fields, but it is safest to just add the customer, shipping, etc. information to all the lines of that order

### Column Names

* **Note:** Column names do not have to exactly match the column names in Inventora. You will be able to match up the columns in your CSV with the Inventora columns when you import.

## How to Format Your CSV

### Line Items

## Edit Category Names and Custom Colors

1. On the left sidebar, select **Materials** to access your list of materials.
2. Click on a material and click on **Edit Details**.
3. Scroll down where you see **Category**.
4. Click on the arrow on the right to see the dropdown of your categories.
5. Select the category you want to edit, click on the three points on the right side, and click **Edit Category**.
6. Edit the name and select the color of your preference.
7. Click **Save**.

## Delete a Category

1. On the left sidebar, click on **Materials.**
2. Select a material and click on **Edit Details.**
3. Scroll down where you see **Category.**
4. Select the category you want to edit, click on the three points on the right side, and click **Delete.**
5. Click **Save.**

# Introduction

The basics on how to get started with syncing your shop to Inventora.

## Overview

When you sync your shop, you are able to manage your inventory fully from Inventora. Here are the automations in place:

* When products sell through your shop, inventory levels are deducted on Inventora.
* When you create more products on Inventora, the linked shop Product will restock.
* When products are returned through your shop, the linked Inventora Product will restock.
* When synced with multiple platforms, product stock levels linked to the same Inventora Product will always match.

## Setting up shop integrations

We currently offer integrations with Shopify, Wix, Square, Etsy, and WooCommerce. To get started, visit your **Settings** and select **Connect Shop** to the platform you sell on.

Once you connect your shop, Inventora will then pull all of your products and a **matching screen** will appear. This matching screen allows you to decide which of your Inventora products will be linked to which of your Shop products.

To save time, we advise syncing your Shop **before** creating any Products manually on Inventora. Once your shop is synced, all of the Products from your shop will then appear on Inventora.

If you've already created Products on Inventora, you may have **duplicates** when you connect a shop.

## Linked products

As previously mentioned, a matching screen will appear for you to link Products from Inventora to your shop. This is what that process looks like:

After this, to link an Inventora Product to a shop product:

1. In Inventora, select which **Product** you want to link.
2. Once the Details screen has opened, select **Edit Details**.
3. At the bottom, you will find **Integrations**. Here you can choose which shop product you want to link or Create a New Draft Product.

# Made-to-Order Products

In addition to syncing your stock levels between your shop and Inventora, you can also sync the quantity of a product you're *able* to make, which we call **Stock Level Plus Capacity**.

### What is Stock Level Plus Capacity

First, there are a few terms we should clarify:

* **Stock Level** is the quantity of a product you have in stock, ready to ship
* **Capacity** is the quantity of a product you're able to make based on your raw materials

So then it follows that Stock Level Plus Capacity will be the combination of products you have already made, and products you're able to make based on your raw material supplies. If your product is made-to-order, then your Stock Level will most likely be zero. And therefore, the number that gets synced to your shop will just be the Capacity.

### Choosing Syncing Method

Now that we know what **Stock Level Plus Capacity** means, let's see how we sync this to your shop.

1. Go to a particular product that's connected to your shop, and click "Edit Details"

2. Scroll down to the "Integrations" section at the bottom of the edit page, and you'll see the "Stock Level Plus Capacity" option. Click it.

3. You'll then have the option to choose what happens when you have a stock level of **0 pieces** and a product sells. For made-to-order products, this will be what happens every time. Your options are:
   1. **Automatically Deduct Materials** - as the name suggests, this will just remove the necessary amount of each material used to create the made-to-order product
   2. **Create Production Card** - this will create a [Production](/getting-started/production) card, which you can use to track the products you need to make
4. Hit "Save", and the new Stock Level Plus Capacity will be synced to your shop

### Preventing Overselling

When two made-to-order products sell that share a material, we will try to prevent overselling depending on which option you chose for "When a product sells that's not already made...":

* **Automatically Deduct Materials** - this one is easy, your capacity will be reduced because some of the materials have been used up
* **Create Production Card** - your capacity will also reduce based on the production cards in the "Pending" and "In Progress" state, so this will also prevent overselling in the same way

**Note:** using Stock Level Plus Capacity it is still possible to oversell if one order contains multiple products that use the same materials, or if multiple orders are placed in a very short period of time. During normal conditions, this is 2-3 minutes for Etsy, and 30s for other shops.

This is frequently caused if you have permalinks disabled. To enable permalinks:

1. Login to your Wordpress admin dashboard
2. Go to Settings > Permalinks
3. Choose any option other than "Plain"

The most common reason for this is that Inventora's servers cannot access your Wordpress host.

Our servers will send requests from the IP address **54.90.201.6**.&#x20;

If you have a firewall or CDN, ensure that this IP address is whitelisted. You may need to email the web hosting company if there is no way to add the IP address to a whitelist online directly.

# Non-Wordpress.com Setup

Setup instructions for WooCommerce when you do not have a wordpress.com account.

If you're starting here, first go to <https://app.inventora.com/settings> and click "Connect Shop" next to WooCommerce. Once you've done that, continue below.

### Step 1. Log into your Wordpress Admin

This will typically be a URL like: <https://my-site.com/wp-admin>

### Step 2. Click on WooCommerce » Settings on the left side navigation

## Generating API Keys

1. Log into your Squarespace account

3. Click on **Developer Tools**
4. Click on **Developer API Keys**
5. Click **Generate Key**
6. Name the key "Inventora"
7. Select the following permissions:
   1. Products: **Read and Write**
   2. Inventory: **Read and Write**
   3. Orders: **Read Only**
8. Click **"Generate Key"**
9. Copy the key & return to Inventora


# Preparing Taxes with Inventora

How to get the inventory data you need to make filing your taxes a breeze

**Note:** This is not legal or tax advice and you should consult an accountant if you have additional questions, and about whether your business is required to track inventory for tax purposes. Also, this is focused primarily around United States tax code, so you should research your specific local jurisdiction, or country if outside the US.

### Starting & Ending Inventory in Inventora

You can easily find your starting & ending inventory in Inventora on the [Reports](https://app.inventora.com/reports) page (More > Reports). ***You will need to be on the paid plan, as the free plan only has access to current data, and not the historical data we need here.***

#### Inventory at Beginning of Year

1. Go to [app.inventora.com/reports](https://app.inventora.com/reports)
2. Scroll to the very bottom, where you'll see "Inventory Breakdown"
3. Change the date to the first day of your fiscal year at 12:00am. This would be 1/1/2021 if you're doing taxes for 2021, and you pay taxes based on the calendar year.
4. You should see 2 numbers: **Materials Total Value** and **Products Total Value**
5. Add these numbers together to get your starting inventory

#### Inventory at End of Year

1. Go to [app.inventora.com/reports](https://app.inventora.com/reports)
2. Scroll to the very bottom, where you'll see "Inventory Breakdown"
3. Change the date to the first day of the following fiscal year at 12:00am. This would be 1/1/2022 if you're doing taxes for 2021, and you pay taxes based on the calendar year.

### Purchases During the Year

In Inventora it's easy to find the total value of materials & finished products purchased during the year, also on the reports page.

#### Materials Purchases

If you make your products out of raw materials, then you'll want to know how much you spend on materials.

1. Go to [app.inventora.com/reports](https://app.inventora.com/reports)
2. For the **2021** tax year, change the date range to 1/1/2021 through 1/1/2022
3. Scroll down to the "Material Reports" section
4. Find the "Materials Purchased" section
5. Your total materials purchased will be the large black number\

#### Finished Product Purchases

If you order finished products to sell, then you'll want to track how much you spend on these, similar to raw materials.

1. Go to [app.inventora.com/reports](https://app.inventora.com/reports)
2. For the **2021** tax year, change the date range to 1/1/2021 through 1/1/2022
3. Scroll down to the "Products Reports" section
4. Find the "Products Purchased" section
5. Your total products purchased will be the large black number\

### Preparing a Schedule C (Form 1040)

If you're based in the United States, then the most common tax document you'll need to prepare as a small business is the [Schedule C (Form 1040)](https://www.irs.gov/pub/irs-pdf/f1040sc.pdf). There are several sections of this tax form, but we'll be talking specifically about **Section III - Cost of Goods Sold**.

Here are the values we recommend:

* 33\. Method(s) used to value closing inventory
  * **Cost**
* 34\. Was there any change in determining quantities, costs, or valuations?
  * **Yes if previously used something other than Cost, otherwise No**
* 35\. Inventory at beginning of year
  * **See above**
* 36\. Purchases less cost of items withdrawn for personal use
  * **See "Finished Product Purchases" above**
* 37\. Cost of Labor
  * **Inventora does not currently track labor cost, so you should calculate this separately. If you're the business owner, the form recommends not including your own time.**
* 38\. Materials & Supplies
  * **See "Materials Purchases" above**
* 39\. Inventory at end of year
  * **See above**
